The five-step booking request workflow
Capture the request
Make sure booking requests are seen quickly and separated from general messages.
Categorize the question
Identify whether the message is about move-in timing, parking, rules, access, or availability.
Use property-specific answers
The answer should match the actual house, not a generic template that may be wrong.
Escalate sensitive messages
Anything involving safety, payment disputes, access issues, or resident conflict should go to a human.
Track what was sent

A simple first response template
The first response does not need to approve the person. It can simply acknowledge the request and answer the easy question.
“Thanks for reaching out. We received your booking request and are reviewing it now. The room is furnished, Wi-Fi and utilities are included, and parking for this home is street parking only. We’ll follow up shortly once the request is reviewed.”
This kind of response does three things well:
- It confirms the message was received.
- It answers the basic question.
- It avoids making a final decision too early.
That is the balance operators need: faster communication without rushed approvals.
Booking request workflow checklist
Before you automate anything, your team should be able to answer these questions:
- Who receives booking request notifications?
- Who is allowed to approve or reject a request?
- What questions can be answered quickly using approved information?
- What questions require human review?
- Where is the property-specific information stored?
- Is the parking answer different for each house?
- Are move-in instructions updated and easy to find?
- What messages should be escalated immediately?
- Can the team see what was already sent?
- What happens if no one responds within a few hours?
If these answers are not clear, automation will not fix the problem by itself.
